Northern Team Position Descriptions

Chair

One-year term, but 3-year commitment: chair-elect, chair, past chair.

  • Conducts meetings (sends out agenda at least one week in advance of meetings).
  • Responsible for budget (gives approval for all expenditures; works closely with Treasurer and Conference Chair(s) on conference budget).
  • Responsible for assigning responsibility to Treasurer for maintaining checking account and money market fund (if not himself/herself responsible), and verifying accuracy of records. Oversees the annual audit.
  • Appoints Team Members. May appoint additional team positions, (e.g., Student Member, etc.) as needed.
  • Appoints special committees as needed (travel grant, etc.).
  • Represents Northern District on Regional Team.
  • Attends mandatory Regional Team meetings at Regional Conference, National Conference and the Regional spring retreat.
  • Updates Team Operational Manual annually with Past Chair and Chair-Elect.
  • Assists in planning District Conference.
  • Assists in coordinating workshops and planning with Workshop and Resource Coordinator, Knowledge Communities (KC) chairs, and Conference Chair(s).
  • Reviews and approves/disapproves all requests for District mailing list/labels.
  • Collects materials for archives (minutes, Newsletters, District Conference Programs, conference evaluation summaries, budget reports, other related publications).
  • Maintains conference records.
 

Past Chair

One-year term, but 3-year commitment: chair-elect, chair, past chair.

  • Provides continuity and acts as resource to current Chair and Team.
  • Updates Team Operational Manual annually with Chair and Chair-Elect.
  • Chairs meetings when Chair is absent.
  • Assists the Chair and Conference Chair with the conferences.
  • Duties as requested by the Chair.
 

Chair-Elect

One-year term, but 3-year commitment: chair-elect, chair, past chair)

  • Assists in planning District Conference.
  • Writes Newsletter articles (encourages new members to join, announce District Conference, etc.).
  • Serve on special committees as needed (travel grant, etc.).
  • Assists Treasurer.
  • Ensures that District Team policies and procedures are written down, maintained, and updated as needed.
 

Treasurer

Two-year term, ends on December 31 of odd-numbered years.

  • Keeps financial records.
  • Prepares and submits financial reports at each Team meeting.
  • Monitors and reports on district financial health.
  • Processes requests and reimbursements.
  • Assists with annual audit.
  • Assists conference registrar and workshop coordinators.
 

Secretary

Two-year term, ends on December 31 of even-numbered years.

  • Takes notes at all team meetings and record all team decisions.
  • Distributes meeting minutes and any pertinent handouts to all team members within two weeks.
  • If unable to attend a team meeting, arranges for a substitute secretary as needed.
  • Assists with making updates to the website and serves as a back-up for making edits in case Communications Rep is unable to do so.
 

Conference Chair, or Co-Chairs

One-year term.

  • Oversees planning and implementation of district conference.
  • Chair and Conference Chair negotiate with conference site manager.
  • Coordinates workshops and planning with Workshop and Resource Coordinator and KC chairs.
  • Gets specific session proposals, set up, and AV requirements from KC representatives.
  • Finalizes session logistics (AV, time, room, etc.) with presenters.
  • Appoints registrar.
  • Responsible for conference budget (together with the Chair).
  • Prepares and delivers welcoming remarks.
  • Prepares conference program.
  • Prepares conference wrap-up summaries on budget and evaluations.
  • Name tags should be created in advance based on registration, vendors attending, and current team members. Newcomers should be identified by a color coded sticker.
  • After the conference, the conference team will write a detailed report about each area including the registration process, and citing what worked and what didn't work. The chair will retain a copy of the report and pass it along to the chair-elect.
 

Conference Registrar

One-year term, position is appointed by Conference Chair.

  • Oversees registration of District Conference.
  • Provides registration information for Northern District web page.
  • Maintains registration database, answers registrant questions.
  • Oversees on-site registration.
  • Prepares on-site information/registration packets (includes receipt, name tags, miscellaneous flyers).
  • After the conference, the conference team will write a detailed report about each area including the registration process, and citing what worked and what didn't work. The chair will retain a copy of the report and pass it along to the chair-elect.
 

Publicity and Marketing Chair

Two-year term, ends on December 31 of odd-numbered years.

  • Working with the Communications Rep, publicizes events, especially the district conference.
  • Solicits sponsor(s) for conference coffee break and program advertisements
  • In consultation with conference chair, sets prices for program ads and vendor tables.
  • Solicits vendors and sponsors, and coordinates set up arrangements.
  • Provides advertisement in Northern District Newsletter.
  • Responsible for requesting NAFSA display materials.
 

Communications Representative

Two-year term, ends on December 31 of odd-numbered years.

  • Coordinates publicity announcing district conference and regular updates on conference information.
  • Work in collaboration with other team members.
  • Maintain and update district web site in a timely manner.
  • Communicate with district members.
  • Maintains district listserv and answers or forwards e-mails sent to the team.
  • Updates district mailing list (additions, corrections, deletions) database from new member list received from regional and national NAFSA.
 

Member(s)-at-large (max of two people)

Two-year term, ends on December 31 of odd-numbered years, appointed by Chair.

  • Appointed by Chair.
  • Provides continuity, acts as a consultant, archivist.
 

Workshop and Resource Coordinator

Two-year term, ends on December 31 of odd-numbered years.

  • In conjunction with the chair, sets the schedule for workshops and professional education opportunities to be offered by the district.
  • Works with the conference chair(s) to determine if and what CEP and/or other professional development workshops will be offered at the district conference.
  • Coordinates all aspects of workshops and professional development opportunities offered by the district, including finding volunteers to teach, managing the logistics, coordinating with NAFSA and working with the communications rep to publicize workshops.
  • Maintains and updates the Resources page on the Northern District’s Website, incoordination with the Communications Rep.
 

Knowledge Community (KC) Chairs

General Knowledge Committee Chair Responsibilities

  • Actively reaches out and solicits sessions in their KC area for district conference.
  • Is responsible for ensuring adequate sessions relevant to their KC at the district conference.
  • Serves as a point of contact for district members in that KC.
  • Be present at the district conference (usually end of March/beginning of April) and serve as an on-site point of contact for presenters in their KC
  • Plans workshop(s) as needed.
  • Works on projects that facilitate communication with district membership.
  • Prepares summary for incoming team replacement.

Positions

Education Abroad (EA) Chair ( two-year term, ends on December 31 of odd-numbered years)

  • Education abroad advisers, directors, and program coordinators.
  • Faculty and administrators who are involved in international education exchange.
  • Representatives of overseas institutions that accept U.S. students.

International Educational Leadership (IEL) Chair (two-year term, ends on December 31 of odd-numbered years)

  • Administrators who shape internationalization policies and strategies.
  • Chief international education officers.
  • Mid-career professional aspiring to be international education leaders.

International Student And Scholar Services (ISSS) Chair ( two-year term, ends on December 31 of even-numbered years)

  • International student and scholar advisers.
  • Those who work or volunteer in campus-and community-based international programming.

International Enrollment Management (IEM) (formerly known as RAP) Chair ( two-year term, ends on December 31 of even-numbered years)

  • Those working in admissions, recruitment, enrollment management, marketing, and credential evaluation.
  • Trainer and administrators of English language programs.
  • Overseas educational advisors.
  • Sponsored program administrators.

Teaching, Learning, And Scholarship (TLS) Chair ( two-year term, ends on December 31 of odd-numbered years)

  • International and intercultural teachers and trainers.
  • Researchers focused on international topics.
  • Professional who want to incorporate existing research into their practice.
 

Sub-committees

Community College Representative (two year term, ends on December 31 of even-numbered years)

  • Represents community college issues, updates, challenges, and successes within the larger district membership.

K-12 Representative (two year term, ends on December 31 of odd-numbered years)

  • Represents K-12 issues, updates, and challenges within the larger district membership.
