Chair

One-year term, but 3-year overall commitment: chair-elect, chair, past chair.

  • Conducts meetings (sends out agenda at least one week in advance of meetings)
  • Responsible for budget (gives approval for all expenditures; works closely with Treasurer and Chair-elect on conference budget)
  • Works with the  Treasurer to verify accuracy of records. Oversees the annual audit
  • Appoints Team Members. May appoint additional team positions, (e.g., Student Member, etc.) as needed
  • Appoints special committees as needed 
  • Represents Northern District on Regional Team
  • Attends mandatory Regional Team meetings at Regional Conference, National Conference and the Regional spring retreat
  • Works with  the Communications Chair and Chair Elect  on content for the District Newsletter (encourages new members to join, announce District Conference, etc.)
  • Updates Team Operational Manual annually with Past Chair and Chair-Elect
  • Assists in planning District Conference
  • Assists in coordinating workshops and planning with Workshop and Resource Coordinator,  Knowledge Communities (KC) chairs, and Conference Chair(s) 
  • Reviews and approves/denies all external requests for District newsletter announcements  
  • Works with the Secretary to oversee collection of materials for archives and maintain Google drive (minutes, Newsletters, District Conference Programs, conference evaluation summaries, budget reports, other related publications)
  • Provides transition meeting to the Chair-Elect to ensure an understanding of responsibility and promote team management continuity
  • Communicates with Regional team about Regional Travel Grant

Past Chair

One-year term, but 3-year overall commitment: chair-elect, chair, past chair.

  • Provides continuity and acts as resource to current Chair and Team
  • Updates Team Operational Manual annually with Chair
  • Assists the Chair and Conference Chair with the conferences  
  • Duties as requested by the Chair
  • Manages annual team elections process (surveys current team members, creates application for open positions, works with Communications Chair to advertise open positions, coordinates application review with Chair Stream)
  • Assists with making updates to the website and serves as a backup for making edits in case Communications Rep is unable to do so.

Chair-Elect

One-year term, but 3-year overall commitment: chair-elect, chair, past chair.

  • Assists in planning District Conference
  • Works with the Communications Chair and Chair on content for the District Newsletter (provides feedback, encourages new members to join, announce District Conference, etc.)
  • Serves on special committees as needed 
  • Chairs meetings when Chair is absent 
  • Manages Regional Travel Grant (appointments committee members, works with Communications Chair to advertise grant, creates/updates application, manages application review, reports to Chair with results)
  • Assists Treasurer with preparing and managing conference budget
  • Works with the Secretary to ensure that District Team policies and procedures are written down, maintained, and updated as needed.
  • Works with the Conference Registrar to oversee and maintain compliance with NAFSA data privacy policy in regards to conference records

Treasurer

Two-year term, ends on December 31 of odd-numbered years.

  • Keeps financial records
  • Prepares and submits financial reports at each Team meeting
  • Monitors and reports on district financial health
  • Works with Region XII to process payment requests and reimbursements
  • Reviews and reports results to the team of annual audit completed by NAFSA
  • Assists conference registrar and workshop coordinators

Secretary

Two-year term, ends on December 31 of even-numbered years.

  • Takes notes at all team meetings and records all team decisions
  • Distributes meeting minutes and any pertinent handouts to all team members within two weeks 
  • If unable to attend a team meeting, arranges for a substitute secretary as needed
  • Takes attendance and calls for “motions to approve” for any decisions made at team meetings
  • Collects materials for archives and maintains Google drive (minutes, Newsletters, District Conference Programs, conference evaluation summaries, budget reports, other related publications)
  • Maintains and updates the district website in a timely manner

Conference Co-Chair(s)

Conference Content Chair

Term from January to April of the following year.

  • This role will shadow the conference planners from January-April and then take over as Conference Co-Chair in April and continue through April of the following year
  • Attends conference planning committee meetings
  • Updates Conference Proposal google form and plans session deadlines with conference planning committee
  • Communicates conference proposal form, themes, and deadlines to Communication Rep to send out
  • Contacts KC Reps to review and rank conference session submissions
  • Meets with KC Reps to make final decisions on conference sessions
  • Contacts session presenters to confirm sessions
  • Collects session presentations and any other information needed from presenters to share with Conference Logistics Chair and attendees as needed
  • Updates conference app with keynote and session information
  • Assigns sessions to rooms in collaboration with Conference Logistics Chair
  • Communicates logistics details as needed with session presenters
  • Creates At-a-Glance conference schedule
  • Updates session evaluation google form & makes sure it is promoted to attendees
  • Reviews session evaluations and sends to presenters along with thank yous
  • Supports Workshops & Resources Coordinator, Conference Logistics Chair, and other members as needed with content for conference events if needed
  • Reaches out to potential Keynote speakers
  • Confirms keynote speaker and is point of contact for keynote speaker
  • Sends thank you to conference keynote after the conference
  • Updates conference app with session & keynote details (speaker profiles, descriptions, linking slide deck, etc.)
  • Meets with Conference Logistics Chair and Team Chair to prepare and deliver Welcoming Remarks
  • Prepare summary of session & overall evaluations
  • Write a detailed report about each area you worked on, citing what worked and what didn’t work, and send to Team Chair to file in Google Drive
  • Generates conference logo or seeks out necessary help to generate the logo

Conference Logistics Chair

Term from January to April of the following year

  • This role will shadow the conference planners from January-April and then take over as Conference Co-Chair in April and continue through April of the following year
  • Attends conference planning committee meetings
  • Collaborates with conference planning committee to research and select location of conference
  • Serves as main contact for conference location, working with conference site contact to gather all required site specifications and costs (e.g. meeting space, catering options, reception space, lunch space, AV costs, parking)
  • Provides details for conference site rental fees, AV costs, catering costs and all other conference expenses to Chair Stream and Treasurer to finalize conference budget
  • Collaborates with Conference Content Chair to collect AV and meeting space needs from presenters and communicate details as needed
  • Assigns sessions to rooms in collaboration with Conference Content Chair
  • Collaborates with Sponsorship Rep to determine needs of exhibitors and sponsors and confirm vendor set up
  • Responsible for planning and executing conference event logistics (such as reception, town hall, workshops, etc.), including working with site contact and catering, arranging space and delegating tasks to District team members
  • Confirms catering orders and room setup needs with conference site contact 
  • Communicates volunteer needs to Conference Registrar
  • Informs Communications Rep of all logistics-related instructions to be sent to conference attendees (e.g. parking, getting to the conference site, conference map)
  • Updates conference app with conference activity details aside from keynote & sessions (which Content Chair covers)
  • Meets with Content Chair and Team Chair to prepare and deliver Welcoming Remarks 
  • Prints signage for conference events
  • Collaborates with Registrar to ensure all onsite registration needs are met (e.g. reserves registration space)
  • Updates overall conference evaluation (logistics portion) in collaboration with conference committee & gives to Communications Rep to send out
  • Prepares summary of budget with the Treasurer and ensures all invoices, honorariums, and reimbursements are paid
  • Writes a detailed report about each area you worked on, citing what worked and what didn’t work, and sends to Team Chair to file in Google Drive

In case of a virtual or remote conference or hybrid conference:

  • Solicit district team members to create/manage Zoom meetings for remote/virtual conference presentations, as applicable and train them as needed
  • Update conference guide with details about using the conference technology for attendees
  • Provide training about Zoom protocols (announcements, community standards, recordings, evaluations, etc) for remote/virtual conference presentations, as applicable
  • Add Zoom link details into conference planning app for remote/virtual conference presentations, as applicable
  • Create Google calendar events for conference presenters for remote/virtual conference presentations, as applicable
  • Upload conference presentation Zoom recordings to YouTube channel for remote/virtual conference presentations, as applicable

Conference Registrar

One-year term, position is appointed by Conference Chair.

  • Oversees registration process of the District Conference
  • Provides registration information to Secretary for Northern District Web Page
  • Works with NAFSA to set up registration page 
  • Answers registrant’s questions and seeks the advice of Conference Co-Chairs and / or Chair where necessary
  • Oversees on-site registration
  • Prepares on-site information/registration packets (includes receipt, name tags, miscellaneous flyers)
  • Responsible for requesting NAFSA display materials, if needed
  • Creates name tags in advance based on registration, exhibitors/vendors attending, and current team members.  Newcomers, students, exhibitors, presenters, and team members should be identified by a color coded sticker
  • Recruits and coordinates volunteers for all conference events
  • Writes a detailed report about each area they worked on, citing what worked and what didn’t work, and send to Team Chair to file in Google Drive

Sponsorship Representative

Two-year term, ends on December 31 of odd-numbered years.

  • Solicits exhibitors and sponsors for the District conference
  • Coordinates logistical arrangements for sponsors and exhibitors with conference committee 
  • In consultation with conference committee, sets prices & sponsorship packages for sponsors and exhibitors 
  • Provides conference sponsorship information to the Communications Representative for the newsletter, if applicable
  • Coordinates with sponsors to ensure logos and signage are displayed as needed
  • Serves on conference committee

Communications & Marketing Representative

Two-year term, ends on December 31 of odd-numbered years.

  • Coordinates and writes publicity announcing district conference and regular updates on conference information via newsletter or special communications
  • Creates monthly newsletters and sends them out in a timely manner
  • Publicizes events, especially the district conference, via newsletter, LinkedIn (Region XII Forum), industry listservs and organizations
  • Reviews the Northern District Gmail inbox regularly (2-3 times per week during conference season / ~1x per week during “off” seasons), responding to questions from district members and/or forwarding to Team members where appropriate.
  • Maintains and advertises district mailing list 
  • Serves on conference committee

Workshop and Resource Coordinator

Two-year term, ends on December 31 of odd-numbered years.

  • In conjunction with the District Chair, sets the schedule for workshops and professional education opportunities to be offered by the district.
  • Works with Conference Chair (s) to determine if and what CEP and/or other professional development workshops will be offered at the district conference.
  • Coordinates all aspects of workshops and professional development opportunities offered by the district, including finding volunteers to teach, managing the logistics, coordinating with NAFSA and working with the Communications Representative to publicize workshops.
  • Maintains and updates the Resources page on the Northern District Website, in coordination with the Secretary

Member(s)-at-large (max of two people)

Two-year term, ends on December 31 of odd-numbered years, appointed by Chair.

  • Appointed by Chair.
  • Provides continuity, acts as a consultant, archivist.

    Knowledge Communities (KC) & Subcommittees

    General Knowledge Committee Representative Responsibilities

    • Actively reaches out and solicits sessions in their KC area for district conference
    • Is responsible for ensuring adequate sessions relevant to their KC and the district conference
    • Serves as the point of contact for district members in that KC
    • Is present at the district conference (usually end of March/beginning of April) and serves as an on-site point of contact for presenters in their KC
    • Plans Workshop(s) as needed with the Workshop and Resource Coordinator
    • Works on projects that facilitate communication with district membership
    • Prepares summary for incoming team replacement
    • Shares out from national/regional NAFSA relevant and useful resources for KC community
    • Assists in planning the district conference
    • Represents interests of KC at district meetings/conference
    • Fosters community amongst Region XII KC
    • Reviews and approves KC posters and workshop proposals for district conference and other workshops. Provide guidance to presenters if needed

    • Administrators who shape internationalization policies and strategies.

    • Mid-career professional aspiring to be international education leaders.

    International Student And Scholar Services (ISSS) Representative (two-year term, ends on December 31 of even-numbered years)

    • International student and scholar advisers.
    • Those who work or volunteer in campus-and community-based international programming.

    International Enrollment Management (IEM) Representative (two-year term, ends on December 31 of even-numbered years)

    • Those working in admissions, recruitment, enrollment management, marketing, and credential evaluation.
    • Trainer and administrators of English language programs.
    • Overseas educational advisors.
    • Sponsored program administrators.

    Teaching, Learning, And Scholarship (TLS) Representative (two-year term, ends on December 31 of odd-numbered years)

    • International and intercultural teachers and trainers.
    • Researchers focused on international topics.
    • Professional who want to incorporate existing research into their practice.
