Thank you for your interest in exhibiting at the NAFSA Region XI conference! At this time, we are at full capacity and are no longer accepting exhibitor registrations (please email [email protected] if you would like to be added to a waiting list). If you are still interested in participating in the conference, you are able to purchase sponsorships or Registration Packet Inserts via the Sponsorship and Advertising page (please note: we cannot guarantee sponsors will be featured in the conference program if they register after September 26. We will, however, be able to include interested sponsors who register after September 26 in the online materials).

Exhibitor Cost: $750

The exhibiting fee includes:

  • One individual conference registration (other representatives attending the conference must complete an individual conference registration form, which may be accessed from the Region XI website when regular registration begins)
  • A table and chair
  • Attendance at Opening Reception, Off-Site Reception, Breakfast (2), and Luncheon (2)
  • Wireless internet access (electricity available at an additional cost of $75 plus tax paid directly to the hotel)
  • Exhibitor Ribbon
  • Recognition in the Conference Program Guide

Exhibitor Timeline

Tuesday, October 18 from 3:00 p.m. - 5:30 p.m.
Exhibitors must be set up before the 5:30 p.m. opening reception that will take place on Tuesday evening.

Exhibit hall hours:
Tuesday, October 18 from 5:30 p.m. – 7:30 p.m.
Wednesday, October 19 from 7:00am – 5:00 p.m.
Thursday, October 20 from 7:00am – 12:00 p.m..

Please note that this year we may be unable to accommodate a secure storage area outside of exhibiting hours and individuals are encouraged to store their valuables in their rooms for safekeeping. In an effort to ensure more traffic in the exhibit area, we will be holding the Opening Reception on Tuesday evening and scheduled coffee breaks on Wednesday and Thursday in the exhibit area.

Table Selection and Registration

Exhibit tables will be self-selected at the time of registration on a first-come, first-served basis, and will be available for purchase online until the close of the registration system. From that point forward, please contact our exhibitor coordinators, Meaghan Murphy and Claire Novotny, at [email protected] for information on purchasing space via the paper application and/or onsite. Please note that the Hyatt Regency will require that all exhibitors submit a liability form which will be emailed to you after registering.


We will be emailing the list of conference attendees to all exhibitors approximately two weeks prior to the start of the conference.


Hyatt Regency Newport will be accepting exhibitor materials no earlier than October 10, 2016. Shipping details will be sent upon confirmation of payment. Please note that the hotel will be unable to accommodate the early arrival of any materials, so please plan accordingly.

Handling Fees are as follows:
Packages 0-5 lbs: $5
Packages 6-20 lbs: $10
Packages 21 to 50 lbs: $15
Over 50 lbs: $25
