Chair

Secretary

Preferred experience: Mid-Career
Hours of commitment: 3-4 hours/month

  • Attend and participate in all meetings of the Regional Team and record minutes.
  • Send draft minutes to all members of the Regional Team for discussion and approval within one month of meetings.
  • Send out action item updates on a quarterly basis to all Team members to indicate progress or lack thereof on any and all scheduled action items from the prior meeting minutes. Action items should also be sent out after any other relevant meetings, such as conference planning meetings or applicable meetings of the Executive Committee.
  • Organize and maintain resource documents within the appropriate sections of the NAFSA Region XII e-communities.

Reg Ombud Representative

Preferred experience: Mid-Career
Hours of commitment: 3-4 hours/week

  • Provide case intervention/regulatory problem solving and engage in practice advocacy.
  • Provide technical, case-based assistance to IE professionals and to government officials at the local/district/regional levels.
  • Report trends and disseminate information to the Region regarding the interpretation of agency practices.
  • Assist Regional Conference Planning by being the point person to invite representatives of local/district/regional government offices to present sessions at the Regional Conference.
  • Contribute to NAFSAs data collection efforts, primarily through IssueNet Get Liaison Help, the interactive online tool developed for problem regulatory solving and case assistance.

KC IEM Representative

Preferred experience: Entry level
Hours of commitment: 3-4 hours/month (varies)

  • Share any IEM KC interests/information w/ R XII through newsletter or listserv
  • Review and approve IEM poster and workshop proposals for regional conference. Provide guidance to presenters if needed. 
  • Conference call w/ other regional IEM reps (Every 2 months)
  • Represent interests of IEM KC at Region XII meetings/conferences
  • Foster community amongst IEM Region XII KC

KC EA Representative

Preferred experience: Mid-Career
Hours of commitment: 10 hours/month

  • Manage CA Study Abroad Fair Circuit and update Region XII Calendar of Events
  • Share out from national NAFSA relevant and useful resources for the EA community
  • Assist in planning the regional conference
  • Support and connect EA colleagues within our region
  • Scholar Regbud Senior 3/week Liaise with federal agencies for fall conference presentations
  • Help to resolve federal agency issues with immigration benefits submitted through NAFSA IssueNet Get Liaison Help

Advocacy Representative

Preferred experience: Mid-Career
Hours of commitment: 6 hours/month

  • Solicit applications for NAFSA Advocacy Day Region XII travel grants and work with the regional team (who then work with the respective district teams) to ensure that the awards are made in a timely manner so that recipients can make travel arrangements in a timely manner.
  • Prepare and mentor grant recipients for participation in NAFSA Advocacy Day. Conduct appropriate follow-up.
  • Foster advocacy sessions for regional conferences, including a session that informs Region XII members about the availability of regional travel grants to NAFSA Advocacy Day.
  • In years were it is applicable, organize and implement regional level state Advocacy Day.
  • Attend appropriate regional gatherings to promote grassroots advocacy activities, including those encouraged by the NAFSA national staff.

Advocacy Shadowing

Conference Chair

Preferred experience: Senior
Hours of commitment: 5 hours/week

  • Ensure all conference details are well handled.
  • Provide a conference that meets the professional development, knowledge building, and networking opportunities for our region.
  • Ensure conference expenses are fiscally responsible and the conference is profitable.
  • Education & Training Coordinator Mid Career 5/12/3 - Organize application process for pre-conference sessions.
  • Manage outreach, communication before, during and after pre-conference workshop application submission, review and acceptance process.
  • Oversee registration and attendance of pre-conference workshops as well, as logistics of day-of conference.

Conference Apprentice (Anaheim, 2021)

Preferred experience: Senior
Hours of commitment: 5 hours/week

In the first year the Conference Apprentice observes the Conference Chair and participates in Conference Cohort calls and other trainings; travel to Spring Team Meeting is covered by Region for both apprentice and active Conference Chairs. (see list of active Conference Chair duties above).

Education and Training Coordinator

Term: two years
Hours of commitment: By Regional Chair in consultation with the current Education and Training Coordinator
Qualifications:

  • A NAFSA member, Trainer Corps member preferred
  • A minimum of two years experience in the field of international education
  • Must be knowledgeable about training with an interest in NAFSA, its regional activities and members
  • Must have the support and backing of  one’s institution/organization and direct supervisor to carry out the responsibilities of the Education and Training Coordinator
  • Ability to attend all Region XII team meetings, and designated meetings and commitments

Responsibilities:

  • Ensure a smooth transition from one year to the next by passing on information and materials associated with the regional conference.
  • Request a list of individuals who are current N AFSA Trainer Corps Members from NAFSA central.
  • Act as liaison with NAFSA Core Education Program (CEP) staff for confirmation of materials and sessions.
  • Assist Regional Team in selection of Workshops (both CEPs and Regional) at team meeting for following year.
  • Update Regional Workshop Reimbursement form in conjunction with Region XII Business Manager each Spring/Summer.
  • Recruit potential trainers, presenters etc. for various regional programs and activities.
  • Identify workshop Chairs and suggest presenters/table moderators for workshops at the Regional Conferences in Fall.
  • Facilitate development of Regional Workshops for the Regional Conference.
  • Identify and recruit new individuals from Region XII for the Trainer Corps.
  • Maintain professional and responsive correspondence with Workshop Chairs, presenters, table moderators and NAFSA staff.

Postdoc Representative

Preferred experience: Mid-Career
Hours of commitment: Generally, 5-10 hours/month

  • Solicit and present regional and national conference sessions concerning postdoc issues
  • Identify and give credit to effective programming in postdoctoral affairs or international offices.
  • Report trends and disseminate information to the Region regarding postdoc issues and updates.
  • Provide the Regional Chair with an annual report of activities and such other reports as may be necessary from time to time.

Community College Representative

Preferred experience: Entry level
Hours of commitment: 4 hours/month

  • Act as liaison between Region and CC members
  • Provide CC-related info for the newsletter
  • Review CC-related proposals for regional conference

KC IEL Representative

Preferred experience: Mid-Career/Senior
Hours of commitment: 2-5 hours/month

  • Disseminate information of interest to KC IEL regional colleagues 
  • Serve as a resource to Region XII members about International Education Leadership trends and professional opportunities
  • Represent Region XII on at the national KC IEL liaison team

KC TLS Representative

Preferred experience: Mid-Career/Senior
Hours of commitment: 2-5 hours/month

  • Disseminate information to Regional 12 members about Teaching, Learning and Scholarship knowledge community opportunities
  • Serve as a resource to Region 12 members with questions relating to teaching, learning, and research
  • Ensure that a range of high-quality sessions related to research, teaching, and learning are offered at the Region 12 conference
  • Ensure that graduate students within Region 12 are included and supported within Region initiatives

KCISSS Rep

Preferred experience: Mid-Career
Hours of commitment: 2-4 hours/months

  • Serve on National KCISSS Team as Region XII liaison; participate in in periodic KCISSS national team conference calls; actively work on 1-2 KCISSS national team annual work plan items; review KCISSS-related session proposals for NAFSA Annual Conference;
  • Participate in regional team meetings as a representative of regional advisors of international students and scholars
  • Coordinate KCISSS portion of the regional conference program. In coordination with Regulatory Ombudspersons, determine range of regulatory-based sessions to be offered. Take leadership in facilitating sessions not involving government representatives; work closely with Education Abroad (EA) rep on areas of common interest and concern; review KCISSS-related session proposals for annual Region XII conference;
  • Disseminate information of interest to KCISSS regional colleagues through the regional newsletter, social media, and by other appropriate means.

Communications Coordinator

Membership & Mentor Program Coordinator

Preferred experience: Mid-Career
Hours of commitment: 4 hours/month

  • Act as point of contact for those interested in Regional membership.
  • Act as regional liaison to the NAFSA Academy in order to help coordinate the application process for the Region XII Academy Grants.
  • Helps coordinate applications and selection of Region XII Academy Coaches, as well as coordinating the applications for Academy grants. 
  • Help coordinate Academy related events for the NAFSA Regional Conference.

Hawaii Pacific District Chair

Preferred experience: Senior
Hours of commitment: 10 hours/month

  • Provide leadership and guidance for NAFSA district team & members consistent with NAFSA mission
  • Liaise with NAFSA region/national on behalf of district
  • Support the implementation of NAFSA district events, conferences, trainings
  • Develop strategy for improving district services for members to increase

Northern California District Chair

Preferred experience: Mid-Career
Hours of commitment: Dec.-Mar.: 8+hours/week, rest of year: 1-2 hours/week

  • Leading district team
  • Assisting in coordinator of content for Dist. Conference
  • Acting as a liaison between Regional NAFSA and District team

Southern California District Chair

Preferred experience: Mid-Career

Hours of commitment: 10-15 hours/month

  • Provide leadership and guidance for NAFSA district team and members consistent with the NAFSA mission
  • Liaise with NAFSA Region XII Team and National Office on behalf of the district
  • Support the implementation of NAFSA district events, conferences, trainings, etc.
  • Attend Region XII Meetings (STM, Annual Conference, and Regional Conference)

Nevada District Chair

Preferred experience: Mid-Career
Hours of commitment: 5 hours/month

  • Disseminate communication to Region XII Nevada District members
  • Help plan and implement Region XII Nevada District Spring Conference
  • Organize quarterly team meetings
  • Attend Spring Region XII Team Meeting
  • Act as a liaison between regional/national NAFSA
  • Approve Region XII Nevada District budget and expenditures  

Development Coordinator

Term: Two years
Appointment: By Regional Chair in consultation with Region XII Chair Stream (Chair-Elect, and Past Chair)

Qualifications:

  • NAFSA member, preferably with experience working in, or across, multiple field domains (EA, ISS, IEM, etc.)
  • Strong working knowledge of NAFSA as an organization, and its primary financial sponsors.
  • Ability to articulate impact and value of NAFSA events, training, and publications to its membership, and how these activities intersect with sponsorship and exposure opportunities for potential supporters.
  • Willingness to coordinate closely with Region XII Conference Chair/conference team, Communications Chair, and other activity leads, to expand sponsorship support for the Region.
  • Must have the support and backing of one’s institution/organization and direct supervisor to carry out the responsibilities of the role.
  • Ability to attend all Region XII team meetings: including Spring Team Meeting, NAFSA Annual Conference and Region XII Fall Conference.
  • Engage in routine business and online correspondence with the Region XII team
  • Strong communication and administrative skills

Responsibilities:

  • Establish an annual development plan, coordinated with the conference planning team and Regional leadership.
  • Maintain and grow a network of organizations and individuals who are current or potential exhibitors, sponsors, advertisers, or other partners for the Region.
  • Engage in regular correspondence with this network to communicate opportunities for support and to understand their needs/interest in engaging with the Region.
  • Recruit supporters and advertisers from this network.
  • Identify and develop new potential sources of income for the Region, with emphasis on diversifying sources and partners.
  • Identify and secure in-kind donations to the Region, including conference logistics such as A/V equipment, raffle/auction items, etc.
  • Coordinate with conference planning team to ensure maximum value and visibility for supporters, including feedback to improve, change, or add new opportunities that create potential for increased support.
  • Coordinate with Communications Chair to embed sponsorship in Regional mailings and administer invoicing/payments.
