In coordination with the Student and Exchange Visitor Information System (SEVIS) Release 6.8, the Student and Exchange Visitor Program (SEVP) is providing the following information to explain the processing procedure of the new adjudicable fields. This broadcast provides general information and outlines the requirements set forth by SEVIS Release 6.8 and provides documents to aid in processing updates.

The new release requires the School Certification branch (SCB) to adjudicate changes made to the principal designated school official (PDSO) or designated school official (DSO) fields. An adjudicable change to these fields would include an update to the last name, first name and/or middle name of a new or existing school official. To assist SCB in processing the P/DSO change request, use the attached fax sheet.

The fax cover sheet has mandatory fields for accurate routing to the appropriate section. Please complete the following fields on the attached fax cover sheet:

  • Date of notice
  • State where the school is located using a 2 letter state abbreviation.
  • School name – Include the entire school name, including the beginning of the school title that uses “The”, “A”, etc.
  • School code – Use the entire school code as it appears in SEVIS.

Enter the information on the fax cover sheet in the spaces provided. Do not hand-write the information on the fax cover sheet. When the P/DSO clicks on each field of the fax cover sheet to enter information and then begins typing, a bar code appears at the bottom of the form. This information is necessary to transmit the fax cover sheet and supporting documents to the appropriate section. An SCB adjudicator will complete the Petition ID field upon submission of a Request for Evidence.

The attached checklist of required documentation should help avoid a delay in the processing of the P/DSO request. Please review before submitting the update request. Send this information electronically to [email protected] or via fax at 877-268-5563.

A school official who is awaiting recertification and requires immediate assistance due to the absence of the PDSO should please contact the recertification team at [email protected]

With SEVIS Release 6.8, the PDSO’s ability to add/update/edit/delete/assign schools officials will no longer be available while a recertification application is pending SEVP adjudication.

Another adjudicable field in SEVIS Release 6.8, is modification to the courses of study and time necessary to complete each (Page 3, Field 17). Some items necessary to process the update are the following:

  • For an accredited school
    • Provide evidence that the state authority has approved the course(s).
    • Provide evidence that a national accrediting agency has approved the course(s).
    • Submit detailed information (typically found in a catalog) of the new course(s) of study. This statement should include the following headings:
      • Program name
      • Hours of instruction/week
      • Lab hours/week
      • Total hours/week
      • Total hours to complete
  • For a non accredited school
    • Provide evidence that the state authority has approved the course(s).
    • Provide three letters in lieu of accreditation for each course officials plan to add.
    • All letters in lieu must come from nationally accredited schools, recognized by Department of Education.
    • Submit detailed information (typically found in a catalog) of the new course(s) of study. This statement should include the following headings:
      • Program name
      • Hours of instruction/week
      • Lab hours/week
      • Total hours/week
      • Total hours to complete
