The Regional Hub Treasurer serves as the primary volunteer financial steward for one of the four Hub Conferences. Working in close partnership with the Hub Chair, Conference Planner, NAFSA staff, and Hub leadership team, the Treasurer supports sound financial planning, clear reporting, responsible use of funds, and informed decision-making for Hub activities and the regional conference.
Major Functions and Responsibilities
Within the framework of the NAFSA Strategic Plan, this position will:
- Provide financial guidance to the Hub Chair and Hub Conference Planner to support fiscally responsible planning and decision-making. Serve as an active member of the Hub leads team.
- Maintain an accurate, current understanding of the Hub’s financial position, including anticipated income, approved expenditures, commitments, and budget risks.
- Lead or support development of the annual Hub conference budget in partnership with the Hub Chair, Conference Planner, and NAFSA staff. Collaborate with the Conference Planner to monitor and update the Hub conference budget throughout the year.
- Promote transparent, ethical, and responsible stewardship of Hub funds.
- Ensure that financial activity is managed in accordance with NAFSA policies, procedures, approval requirements, and applicable internal controls.
- Identify emerging financial concerns, variances, or risks and communicate promptly to the Hub Chair, Conference Planner, and NAFSA staff.
- Support financial planning for major conference expense categories, including venue, food and beverage, audiovisual, printing, technology, transportation, hospitality, special events, and volunteer needs.
- Prepare clear financial updates for the Hub Chair and leadership team.
- Contribute to recommendations that improve future conference financial planning and sustainability.
- Encourage a culture of fiscal responsibility, clear communication, and shared accountability among Hub volunteerss
Sample Projects
- Develop the Hub’s annual operating budget in collaboration with the Hub Chair and NAFSA staff.
- Review conference expense proposals and flag requests that exceed budget assumptions or require further approval.
- Provide a financial update at each Hub leadership meeting or conference planning call.
Qualifications
- Strongly preferred: previous experience on a NAFSA regional executive team (chair, conference planner, treasurer), particularly treasurer or treasurer apprentice/designate.
- Experience developing, monitoring, or managing budgets, financial reports, event finances, departmental funds, or similar financial processes.
- Strong attention to detail and demonstrated ability to organize information and manage confidential financial information responsibly.
- Ability to interpret budget information and communicate concepts clearly.
- Sound judgment, integrity, and commitment to transparent and responsible stewardship.
- Ability to work collaboratively with volunteers, NAFSA staff, and external partners.
- Familiarity with spreadsheets and financial tracking tools; comfort with shared online documents and virtual collaboration platforms.
Required Commitment
- One-year term, January through December.
- Average commitment of approximately 3–5 hours per month during routine periods, with increased time required during annual budgeting, conference planning, and post-conference reconciliation.
- Participation in regular hub leadership meetings, conference planning calls, and committee meetings as needed.
- Attendance at the Hub conference is strongly encouraged.
